System Rules
System rules are the hard specs that turn a set of brand assets into an actual operating system. They come in phase five because you cannot govern assets you have not defined yet. These rules take the strategy the voice the logo the type the color and the motif and convert them into precise measurable instructions across five areas. Hierarchy rules fix the exact size relationships between headlines subheads body copy and captions so nothing ever feels almost right. Usage rules specify logo clearance minimum sizes allowed color pairings and the exact list of distortions never permitted. Accessibility rules demand 4.5 to 1 contrast for body text 3 to 1 for large text plus documented focus states and type scaling behavior that meets WCAG 2.2 AA. Voice rules close the loop with the verbal identity phase by listing banned phrases approved sentence rhythms and even punctuation habits such as always using the Oxford comma or never using ellipses. Written correctly these rules become the contract that every future marketing hire every outside agency and every product designer must follow.
System rules are not a 60 page brand book full of lifestyle photography and vague adjectives. They are not optional guidelines or best practices or inspirational decks. They are not the pretty PDF that gets downloaded once then ignored. They are not loose suggestions that a creative director can interpret on a Friday afternoon when the client wants it more fun. If a rule cannot be coded into a Figma component or enforced by a junior designer on day one then it is not a rule it is just decoration.
Look at the 2018 Intercom refresh. Their system rules pinned every layout to a strict 24 pixel grid. Logo clearance sat at exactly 48 pixels on all sides with red violation diagrams that made arguments impossible. Typography locked to two families with eight predefined styles tied to specific use cases. The voice rules banned passive voice entirely and required every support reply to open with a direct verb. Accessibility specs called out exact focus rings in their signature purple with tested contrast values. When Intercom launched their AI product years later the new assets snapped into the existing system without a single revision round. The brand still felt like Intercom even though the category had shifted. Mailchimp took the same approach in their 2017 content system. The voice rules ran longer than their visual specs and included six pages of forbidden words with stronger replacements. Never say click here. Never sound like a bank. The combination of rigid visual rules and explicit language rules let freelance writers and new hires produce on brand emails for years with zero direct oversight.
Use system rules on every brand identity project budgeted above 25k dollars or intended to live longer than twelve months. Bake them into Figma with auto layout components and variant sets that make breaking the rules actively difficult. Export them as design tokens so engineering cannot deviate. Review them live during rollout when actual campaigns reveal the gaps your team missed in theory. Update the rules document at the 30 and 60 day marks based on real violations instead of imagined ones. This is how you stop entropy before it starts.
Skip the full system rules package only on pure logo jobs for local businesses that print once and call it a day. A neighborhood cafe refreshing its sandwich board does not need WCAG specs or an 8px spacing scale. A startup still pivoting monthly should not waste cycles codifying hierarchy rules before they have product market fit. If the client swears the identity will only touch one website and two social channels then you are selling them theater not infrastructure.
